Subscribers
The Subscribers section is your central directory for every contact in Punchmail. While lists group subscribers together, this is where you manage individuals — search for someone, view their full profile, update their info, or take action in bulk.
Browsing and Searching
Click Subscribers in the sidebar to see everyone in one table. You can narrow things down with:
- Search — Type an email address, first name, or last name to find a specific person.
- Filter by Status — Show only Active, Inactive, Unsubscribed, or Pending subscribers.
- Filter by List — Show only subscribers who belong to a specific list.
- Filter by Tag — Show only subscribers with a particular tag.
The table shows the following columns:
| Column | What it shows |
|---|---|
| The subscriber's email address. Sortable. | |
| Name | First and last name. Sortable. |
| Status | A colored badge — Active, Inactive, Unsubscribed, or Pending. |
| Lists | How many lists this subscriber belongs to. |
| Tags | Gray pill-shaped labels showing their tags. |
| Source | How they were added (form, import, manual, API, etc.). |
| Created | When the subscriber was first added. Sortable. |
Click any column header that supports sorting to reorder the table.
Adding a Subscriber Manually
Click Add Subscriber and fill in the form:
- Email (required) — The subscriber's email address.
- First Name and Last Name — Optional but recommended for personalization.
- Status — Choose from Active, Inactive, Unsubscribed, or Pending.
- Custom Fields — If you've set up custom fields in Settings, they'll appear here for you to fill in.
- List Assignment — Check the boxes for any lists this subscriber should join.
- Tags — Add existing tags or create new ones on the fly.
Subscriber Statuses
Every subscriber has one of four statuses:
| Status | What it means |
|---|---|
| Active | This subscriber can receive emails. This is the normal, healthy state. |
| Inactive | Temporarily paused. They won't receive campaigns, but they haven't unsubscribed. Useful for seasonal contacts or people you want to re-engage later. |
| Unsubscribed | They've opted out. Punchmail will not send them campaigns. Respect this — it's both good practice and often a legal requirement. |
| Pending | They've signed up but haven't confirmed yet (used with double opt-in). They won't receive campaigns until they confirm. |
Bulk Actions
Need to make changes to many subscribers at once? Use the checkboxes in the leftmost column to select rows, then choose a bulk action:
- Add Tag — Apply a tag to all selected subscribers.
- Remove Tag — Remove a tag from all selected subscribers.
- Add to List — Add all selected subscribers to a list.
- Remove from List — Remove them from a list.
- Change Status — Set all selected subscribers to a new status.
- Delete — Permanently remove the selected subscribers.
This is handy for things like tagging everyone from a particular event, moving a group to a new list, or cleaning up inactive contacts.
The Subscriber Profile
Click any subscriber's email to open their full profile page. This is where you see everything about a single person in one place.
Header
At the top you'll see their avatar (an orange circle with their initial), email address, name, status badge, source (how they were added), creation date, and IP address.
You can quickly change their status using the status buttons right on the profile — no need to open a separate edit form.
Custom Fields Card
Shows all custom fields and their values for this subscriber. You can edit them inline.
Tags Card
Displays the subscriber's current tags. You can add new tags or remove existing ones directly from here.
List Memberships Card
Shows which lists the subscriber belongs to and their status on each one. You can add them to new lists or remove them from existing ones without leaving the profile.
Engagement Stats
A snapshot of how this subscriber interacts with your emails:
- Emails Sent — Total emails delivered to this subscriber.
- Opens — How many times they've opened your emails.
- Clicks — How many times they've clicked a link.
- Open Rate — Displayed with a visual progress bar so you can see at a glance how engaged they are.
- Click Rate — Also with a progress bar.
- Last Opened — The date they most recently opened an email.
- Last Clicked — The date they most recently clicked a link.
This is incredibly useful for identifying your most engaged contacts — or spotting subscribers who haven't interacted in a while and might need a re-engagement campaign.
Activity Timeline
Below the engagement stats, you'll find a chronological timeline of every interaction this subscriber has had with your emails:
- Open events (green) — They opened an email.
- Click events (blue) — They clicked a link.
- Sent events (gray) — An email was delivered to them.
- Bounce events (red) — An email bounced.
Each event includes a timestamp, so you can see exactly when things happened.
Tips for Managing Subscribers
- Use tags generously. Tags are lightweight and flexible — tag subscribers by source (“webinar-jan-2026”), interest (“interested-in-pricing”), or behavior (“clicked-demo-link”). You'll thank yourself later when building segments.
- Check engagement before deleting. If someone looks inactive, check their Activity Timeline before removing them. They might have opened an email recently.
- Keep your list clean. Regularly review subscribers with a “Pending” or “Inactive” status. Pending subscribers who never confirmed can be removed after a reasonable period. Inactive subscribers might benefit from a re-engagement campaign before you let them go.
- Use bulk actions for housekeeping. End-of-quarter list cleanup is much faster when you can filter by status and tag or remove in batches.
